Files

Every attachment in your workspace in one place, with search, preview, download and delete. Plus how much of your plan's storage you're using.

The files you upload to a task stop living only inside it: Files lists everything stored in your workspace. It’s for the moment when you know somebody uploaded that contract last week, but you can’t remember which task it was on.

You’ll find it in the sidebar, below Insights.

What you see

One row per file, with:

  • The name, with an icon for its type.
  • The task it’s attached to, linked: one click and you’re on its page.
  • The size, who uploaded it and when.

Newest first by default. There’s a Load more at the bottom when there are more than fit at once.

Search and filter

  • The search box matches the file name, ignoring case: typing pdf finds Report.PDF.
  • By project, to narrow down to one client or product.
  • By type: images, PDFs, documents, archives, audio and video.
  • By order: newest, or largest first — which is where you start when you’re running out of space.

Filters search all your files, not just the ones currently on screen.

Preview and download

Images and PDFs open inside Hilbana with the eye button, nothing downloaded; close with Esc. Every other type downloads straight away with the arrow.

Deleting

Tick the files you want and hit Delete. Before it happens you’re told how many they are and how much space you get back.

You’re only offered the delete on files you uploaded yourself. A workspace admin can delete any file. Deleting is permanent: the file also disappears from the task it was on, and there’s no trash to recover it from.

Who sees what

Everyone sees files from the tasks they can already see, and no more:

  • If you’re a guest or you only have access to certain projects, only those projects’ attachments show up here.
  • If your access to a project is revoked, its files leave your list immediately — no need to reload.

Pull Requests that GitHub attaches to a task don’t show up here: they’re links, not files you can download.

Storage

Under Settings → Storage, workspace admins can see where the plan’s space is going:

  • How much is used and how much is left, with a heads-up once you’re past 75% and a firmer one at 90%. If it fills up completely, uploads start being rejected.
  • Which file types are eating it (usually images) and which projects.
  • The ten largest files, so you know where to start cleaning. From there you jump to Files to delete them.

Your plan’s limits

There are two different limits, and they’re worth keeping apart:

Size of one file is how big any single upload can be; total storage is everything the workspace holds put together. Both are listed under Billing and plans.

The per-file limit applies wherever you upload from: dragging onto a task, pasting an image into a description or a comment, or sending it in by email. And the upload box always shows yours, so there’s nothing to memorise.
